Guest Coordinator

This person is responsible for getting your Special Guests to the con, and garnering all the important details for it – usually through speaking to the Special Guest's agent- such as ascertaining the guest’s fees, any special needs they have, arrival/departure preferences in deference to the convention and how they will be traveling. Does the guest need ground transportation from their home to the airport? A late-afternoon flight? Greg Weisman hates red-eye flights, so don't try to put him on one. The Guest Coordinator is typically also responsible for picking the Special Guests up from the airport or otherwise arranging transportation to the hotel, checking them in and out of the hotel, and generally making sure they are doing alright throughout the duration of the con. They are also responsible for updating the rest of the con staff about any changes or preferences in schedule that the guests have requested. Cutting the checks for the guests' fees and posting them, however, falls into the hands of the Treasurer.

This aspect of convention running is the one I have the least involvement with, as in, none. As such, I don't have anything other than the above generalizations to offer in the way of advice. Carol Wagner was Guest Coordinator for the Gathering from 2001-2005, and handled all the details fit to print, but she's no longer available for convention assistance or advice.
